Portfolio / Lease Administration Services
Mohr has a dedicated team of portfolio / lease administrators whose only function is to provide portfolio / lease administration services to Mohr’s clients. Mohr places great emphasis on the use of a database system to effectively manage communications and reporting.

Mohr utilizes a variety of database software, ranging from simple database systems with basic capabilities to robust, work flow database software that is Sarbanes-Oxley compliant with FASB 13 reporting capabilities, all of which are web-based and accessible 24/7. Portfolio / lease administration will also provide desktop / lease audits as an additional service.

The portfolio account management team utilizes the database as an effective tool for strategic planning as well as managing transactions proactively through critical date reminders. The portfolio / lease administration team and the portfolio account management (PAM) team work hand-in-hand to deliver their respective services to the client. Once the PAM completes a transaction, the lease analyst will enter all the data into the database so that the client will have a complete database of its real estate commitments as well as terms of the agreement at a click of a button through the database system. Critical date reminders will be sent to the PAM as well as to appropriate client personnel well in advance of the notice date to ensure the client always has the best leverage possible in every transaction.

Database Management

Important features for database maintenance as it relates to leases and owned properties include:

  • Tracking of leases in process and status
  • Integrated ad hoc reporting capabilities

Abstraction

As it relates to quality control of the database, each client has its own specific detail checklist that is utilized for all abstractions. Once the initial abstraction is completed by the lease administrator the Quality Control Partner reviews 100% of the data entered and signs off on the checklist. Then, a Senior Quality Control individual reviews 100% of the data points to ensure data quality and integrity entered and reviewed. Once completed, they sign and date the checklist. The last checkpoint is completed by the Director of Portfolio / Lease Administration – Quality Control in which financial and critical date information is reviewed and the file is marked as completed in the file tracking system.

Once all initial abstraction and the three layers of quality control are completed, we have “data sets” available to us that allow us to run reports to check the financial and critical date information as a final review.

Reporting

Standard and customized reports are provided regularly, based upon the needs of the client. Mohr has a team of lease administrators whose only function is to provide portfolio / lease administration services to Mohr’s clients. All are seasoned individuals with extensive experience. They will interface with the transaction team to ensure the PAM’s have up-to-date critical date information. As the PAM’s complete transactions, portfolio / lease administrators will abstract the information into the database to ensure that the client always has up-to-date information from which to print commitment reports, compliance reports, terms reports or any report available from the system at all times. Additionally, they will assist the PAM’s in ensuring appropriate language is included in all leases to ensure the client always has the most favorable lease transaction.

Invoice Review

Mohr’s portfolio / lease administration department can provide monthly rent statements and monthly variable expense reviews and approvals. All invoices received will be reviewed for applicability and reasonableness by the lease administrator. All variable expense invoices will be scanned and associated with the lease location. On a daily basis between accounting cycles, the lease administrator will enter the variable expenses into the database. A variable expense report will be generated which will include a brief description of the expense item and whether payment is recommended. If payment is not recommended, an explanation will be provided.

Desktop/Lease Audits

Mohr can provide savings through desktop / lease audits in which CAM reconciliations are reviewed for accuracy and compliance with lease language. These savings are tracked and reported annually to clients for whom this service is provided, under separate agreement.
